Responsibilities:
Executive Administrative Support:

  • Assist in organizing meetings, including scheduling, preparing agendas, arranging facilities, and taking minutes
  • Manage executives' calendars, schedule appointments, and coordinate meetings to optimize time management and productivity.
  • Follow up on action items and commitments made during meetings or discussions. Ensure that deadlines are met and tasks are completed on time
  • Perform various ad hoc tasks and assignments as requested by management or other team members

    Project Support:
  • Assist the Executive Director in managing special projects, initiatives, and strategic initiatives. Conduct research, gather data, and prepare reports or presentations as needed to support decision-making and planning
  • Supervise and coordinate the activities of departmental staff, providing guidance, support, and mentoring as needed
  • Stay updated on industry trends, best practices, and relevant skills to enhance performance and effectiveness in the role

    Coordination with international supplier:
  • Serve as a primary point of contact between the company and international suppliers. Facilitate clear and effective communication through various channels such as email, phone calls, video conferences, and instant messaging platform
  • Coordinate the placement of orders with international suppliers, including submitting purchase orders, negotiating terms, and confirming delivery schedules. Track the status of orders and shipments, ensuring timely delivery and resolving any issues that arise
  • Manage the documentation required for international transactions, such as invoices, packing lists, customs forms, and import/export documentation. Ensure that all documentation is accurate, complete, and compliant with relevant regulations
  • Collaborate with internal teams to manage inventory levels and stock replenishment from international suppliers. Monitor inventory levels, forecast demand, and coordinate replenishment orders to maintain optimal stock levels

    Document Preparation:
  • Prepare and format documents such as letters, memos, reports, and presentations. This may involve typing, editing, proofreading, and ensuring accuracy and consistency
  • Distribute documents to relevant parties via email, mail, or electronic document-sharing platforms. Ensure timely delivery and proper handling of sensitive or confidential information
  • Maintain organized electronic and physical filing systems for documents, ensuring easy retrieval and secure storage. Label and categorize documents appropriately to facilitate efficient document management

    Real Estate Expertise (Not required but preferred)
  • Assist with administration tasks related to land or real estate owned by company, such as reviewing agreements, contract and terms, and related document preparation
  • Ensure compliance with relevant laws, regulations, and industry standards governing real estate management. Stay informed about changes in regulations and update policies and procedures accordingly
  • Assist with tenant relations by responding to inquiries, addressing concerns or complaints, and coordinating maintenance requests
  • Assist with financial management tasks, such as budgeting, forecasting, and expense tracking. Prepare financial reports and assist with financial analysis as needed

    Qualifications:
  • Bachelor's degree in a relevant field; Master's degree preferred
  • Excellent communication and interpersonal skills, with the ability to effectively interact with diverse stakeholders
  • Strategic thinking and problem-solving abilities.
  • Ability to work effectively under pressure and manage multiple priorities simultaneously.
  • Commitment to continuous learning and professional development.
  • Language: Thai, Chinese (Required HSK 5+), English (Required TOEIC 800+)
