Job Description:
Administrative Support:
- Manage and maintain the Director's schedule, including appointments, meetings, and travel arrangements.
- Prepare and edit correspondence, reports, presentations, and other documents as needed.
- Handle incoming and outgoing communications on behalf of the Director.
Meeting Coordination:
- Schedule, coordinate, and prepare materials for meetings.
- Take and distribute minutes of meetings.
- Follow up on action items from meetings.
Office Management:
- Ensure the smooth operation of the executive office, including maintaining office supplies and equipment.
- Organize and maintain confidential files and records.
- Handle routine office tasks such as filing, data entry, and answering phone calls.
Communication:
- Act as a liaison between the Director and internal/external stakeholders.
- Screen and prioritize phone calls, emails, and other communications.
- Draft and proofread correspondence and communications.
Project Assistance:
- Assist with special projects and initiatives as assigned by the Director.
- Conduct research and compile information for reports and presentations.
Qualification Requirements:
- Bachelor's degree in Business Administration, Management, or a related field preferred.
- Minimum of 3-5 years of experience in an administrative or executive support role.
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to handle confidential information with discretion.
- Strong attention to detail and problem-solving abilities.
- Ability to multitask and prioritize effectively.
- Professional demeanor and appearance.
- Strong interpersonal skills and the ability to work collaboratively.
- High level of integrity and reliability.
